Inventory Module

The Inventory module provides complete control over your product catalog, stock levels, warehouses, and inventory movements. Track stock in real-time, manage multiple locations, and automate barcode operations.

1. Product Catalog

Maintain your complete product catalog with detailed information, pricing, and stock tracking capabilities.

Product Information

Basic Details

  • Name - Product display name
  • SKU - Unique stock keeping unit code
  • Product ID - Auto-generated identifier (P + date + sequence)
  • Description - Detailed product description
  • Category - Product category classification
  • Product Group - Grouping for similar products
  • Image - Product photo or thumbnail

Pricing & Units

  • Unit - Unit of measure (pcs, kg, box, etc.)
  • Price - Selling price
  • Cost - Purchase/manufacturing cost
  • Currency - Transaction currency
  • Batch Code - Batch/lot number tracking

Barcode & Tracking

  • Barcode - Barcode number (auto-generated or manual)
  • Barcode Image - Generated barcode image
  • Expiry Date - Product expiration date
  • Last Repacked At - Most recent repacking date
  • Last Purchased At - Latest purchase date

Stock Alerts

  • On-Hand Quantity - Current total stock
  • Min Stock - Minimum stock level
  • Reorder Level - Level to trigger reorder
  • Low Stock Threshold - Alert threshold

How to Add a New Product

  1. Navigate to Inventory → Products
  2. Click "New Product"
  3. Enter the product name and SKU (required)
  4. Set the category and unit of measure
  5. Enter pricing information (price, cost, currency)
  6. Configure stock thresholds for alerts
  7. Optionally add barcode or let system auto-generate
  8. Click "Save"

Bulk Import

Import multiple products at once using a spreadsheet. Download the template, fill in your product data, and upload to create products in bulk.

2. Stock Management

Track stock levels across all locations in real-time. Each product maintains stock entries by location with transaction history.

Each product tracks stock levels per warehouse/location:

Stock In

Add stock when receiving goods from purchases or returns.

Stock Out

Reduce stock for sales, damages, or write-offs.

Adjustment

Correct stock levels after physical counts.

Low Stock Alerts

Products with stock below their threshold will be flagged in the dashboard. Set appropriate thresholds based on lead times and sales velocity.

3. Warehouse Management

Configure multiple warehouses or storage locations to track inventory across different facilities.

Warehouse Settings

Managing Warehouses

  1. Go to Inventory → Settings → Warehouses
  2. Click "Add Warehouse"
  3. Enter a descriptive label and unique value
  4. Set active status
  5. Save the warehouse

4. Stock Transfers

Move inventory between warehouses with full tracking and approval workflow.

Transfer Details

Transfer Information

  • Transfer ID - Auto-generated (ST-YYYYMMDD-####)
  • Product - Item being transferred
  • Source Warehouse - From location
  • Destination Warehouse - To location
  • Requested Quantity - Amount to transfer
  • Reason - Purpose of transfer

Tracking

  • Requested By - User who initiated
  • Approved By - User who approved
  • Processed By - User who completed
  • Status History - Complete audit trail
  • Notes - Additional remarks

How to Create a Stock Transfer

  1. Navigate to Inventory → Stock Transfers
  2. Click "New Transfer"
  3. Select the product to transfer
  4. Choose source and destination warehouses
  5. Enter the quantity (must not exceed source stock)
  6. Provide a reason for the transfer
  7. Submit for approval or process directly (based on permissions)

5. Repacking Operations

Convert bulk products into smaller units or repackage items with new batch codes.

6. Barcode Operations

Use barcodes for faster product lookup and inventory operations.

Barcode Lookup

Scan or enter a barcode to quickly find products. The system searches by barcode number and SKU.

Auto-Generation

If no barcode is provided, the system automatically generates one based on the SKU and timestamp.

7. Inventory Settings

Categories

Define product categories for organization and reporting.

Units of Measure

Configure units like pieces, boxes, kilograms, liters, etc.

Warehouses

Manage storage locations and facilities.

Pro Tips

  • Regular Stock Counts: Perform periodic physical counts to ensure system accuracy.
  • Reorder Points: Set reorder levels based on supplier lead times to avoid stockouts.
  • Batch Tracking: Use batch codes for products with expiry dates or quality tracking needs.
  • Transfer Approvals: Implement transfer approvals for better inventory control.
